Project Precast Sponsors

Thank you for supporting the PCMA Project Precast Regional Challenge, a student design competition connecting students, faculty, PCMA producer members, associate members, suppliers, engineers, contractors, and other industry professionals. Sponsorship helps support student travel, accommodations, meals, awards, mentor participation, event materials, site visit transportation, and other costs connected with delivering the regional challenge. The event will take place in conjunction with the PCMA Winter Meeting and Best in Precast program in College Station, Texas.

Terms and Conditions

Please review and acknowledge the sponsorship terms below.

Sponsorship Terms and Conditions

  1. Sponsorship Commitment

By submitting this form, the sponsor confirms its intent to support the PCMA Project Precast Regional Challenge at the sponsorship level or contribution amount selected.

  2. Payment Terms

Sponsors agree to pay the selected sponsorship amount according to PCMA’s payment instructions.

If invoicing is requested, payment should be made by the invoice due date. Sponsorship recognition and benefits may be delayed or limited if payment is not received by stated production or event deadlines.

  3. Use of Sponsorship Funds

Sponsorship funds may be used to support event-related needs, including but not limited to student travel, accommodations, meals, awards, mentor participation, site visit transportation, meeting materials, signage, AV, technology, printing, photography, event operations, and post-event recognition.

Unless a restricted sponsorship use is agreed to in writing by PCMA, sponsorship funds may be applied where most needed to support the event.

  4. Sponsor Recognition

Sponsor recognition will be provided according to the selected sponsorship level and final event materials schedule.

Recognition may include, where applicable, logo placement, event signage, webpage recognition, email or social media mentions, program acknowledgment, sponsor recap inclusion, award recognition, or other benefits associated with the selected level.

PCMA will make reasonable efforts to include sponsors in promotional materials, but recognition is subject to production deadlines, available space, event format, and receipt of required logo files or company information.

  5. Logo and Brand Permission

By submitting a logo or brand materials, the sponsor gives PCMA permission to use the sponsor’s name, logo, and submitted company information in connection with promotion, delivery, recognition, and reporting for the PCMA Project Precast Regional Challenge.

Sponsors are responsible for providing correct logo files and notifying PCMA of any brand-use restrictions.

  6. Sponsorship Benefits

Sponsorship benefits are based on the selected level and are subject to event needs, final schedule, venue limitations, and PCMA approval.

Benefits may not be transferred, substituted, or expanded without PCMA approval.

  7. No Guarantee of Recruitment Outcome

Sponsorship may provide opportunities to meet students, receive approved résumé information, participate in networking, or support workforce development. However, sponsorship does not guarantee access to any specific student, interview, intern, employee candidate, hire, or recruitment outcome.

  8. Student Résumé and Contact Information

Student résumés and contact details may only be shared with sponsors or participating employers when students have provided permission through the application or participation process.

Sponsors agree to use any student information received only for appropriate recruitment, internship, career-development, mentorship, or event-related networking purposes.

  9. Mentor, Judge, and Advisor Roles

Sponsor representatives may be invited to serve as mentors, judges, technical advisors, or speakers, subject to event needs and PCMA approval.

Mentors are expected to guide and support students without completing the work for them. Sponsor mentors should not judge the team they mentor. The planning framework notes that sponsor mentors should not score their own teams and that scores should be reviewed by a judging chair.

  10. Team Sponsorship

Team sponsorship provides recognition associated with a student team and may include the opportunity to nominate an approved mentor.

Team sponsorship does not give the sponsor ownership of student work, control over student team decisions, authority over judging, or the right to select award winners.

  11. In-Kind Sponsorship

In-kind sponsorships must be approved by PCMA. The sponsor is responsible for accurately describing the contribution and estimating its value.

PCMA may determine the recognition level for in-kind support based on the value, usefulness, timing, and event need.

  12. Cancellation or Changes

PCMA reserves the right to modify event format, schedule, venue, benefits, or recognition opportunities if needed due to circumstances beyond its control, including venue changes, weather, travel disruptions, low student participation, health or safety concerns, or other operational needs.

If the event is canceled or substantially changed, PCMA will communicate with sponsors regarding available options, which may include applying sponsorship to a future event, adjusted recognition, or another mutually agreed resolution.

  13. Sponsor Cancellation

If a sponsor wishes to cancel or reduce its sponsorship commitment, the request must be made in writing.

Refunds or reductions may be limited once sponsor recognition has been provided, materials have been produced, funds have been committed to student support, or event expenses have been incurred.

  14. Code of Conduct

Sponsors and sponsor representatives are expected to conduct themselves professionally and respectfully during all PCMA Project Precast Regional Challenge activities, including official events, mentor sessions, networking activities, and related functions.

PCMA may remove a sponsor representative from participation if conduct is unsafe, disruptive, discriminatory, harassing, or inconsistent with event expectations.

  15. Compliance with Laws and Policies

Sponsors are responsible for ensuring their participation complies with applicable company policies, professional rules, employment practices, and applicable laws.

Sponsors may not use event participation to engage in discriminatory hiring practices, inappropriate solicitation, or conduct inconsistent with the educational purpose of the program.

  16. Photography, Video, and Publicity

The event may be photographed or recorded. Sponsor representatives attending the event may appear in event photos, video, or recap materials.

Sponsors may use their own photos or event mentions for company promotion, provided such use is respectful, accurate, and does not misrepresent PCMA, PCI Foundation, students, judges, or event outcomes.

  17. Tax and Deductibility

PCMA does not provide tax advice. Sponsors should consult their own tax advisor regarding whether sponsorship payments, in-kind contributions, or related expenses are deductible.

  18. Agreement Authority

The person submitting the form confirms that they are authorized to make or request this sponsorship commitment on behalf of the company or organization listed.
